Conditions of Travel

Alaska Airlines offers hotel only vacation packages and complete vacation packages, which include air travel on Alaska Airlines/Horizon Air. Minimum stay in conjunction with the package is 3 days/2 nights, including day of travel. Some hotels have additional minimum night stays. Reservations are subject to hotel availability and blackout dates. Vacation packages to the State of Alaska are offered in conjunction with our partners and are not covered by these terms and conditions.

Deposits

A deposit of $100 (USD) per person is due within seven days of booking or reservation is subject to cancellation without notice. Reservations will cancel by 3:00 p.m. Pacific Time on the seventh day if no payment is made.

Payments

Full payment (USD) is required no later than 3:00 p.m. Pacific Time, 30 days prior to departure or the reservation is subject to cancellation without notice. Reservations made 30 days or less prior to departure must be paid in full at the time of booking. If booking directly on alaskaair.com, note that full payment is due at the time the reservation is made.

All major credit cards are accepted. Payments made by MCO or check within 21 days of travel must be received within 24 hours. A $25 service fee will be charged for all NSF checks.

The Canadian equivalent quoted at time of booking is guaranteed if paid in full by MCO or check within seven days of booking. A $25 will be charged for all NSF checks.

Documents

Alaska Airlines Vacations will send travel documents for your vacation via e-mail after final payment has been made. Late payment may cause reservations to be canceled without notice.

Late Reservations

In order to offer the best possible service in confirming your hotel and air arrangements, Alaska Airlines Vacations must have three business days' advance notice prior to departure in order to process a reservation request.

Changes

Changes to your vacation package can be made by calling 1-800-468-2248. The following fees will apply.

Once deposit is paid, a fee of $25 (USD) per reservation will be assessed for changes to the reservation. Within 30 days of travel a $150 (USD) per reservation fee applies to any change.

A change to all names on the reservation is considered a complete cancel. Some hotels may consider a name change a cancellation, which may result in the loss of the room originally booked and/or an increase in your package price.

Any changes to names, ages, number of passengers or itinerary is subject to availability and prices at the time of the change which could result in an add collect in addition to the change fee.

Cancellations / Refunds

For complete cancellations a $200.00 (USD) (15% of the reservation for Las Vegas and Reno) per reservation cancellation fee applies once deposit or full payment has been paid. Complete cancellations 30-15 days prior to departure will be charged 25% (USD) of the reservation. Complete cancellations within 14 days of travel are 100% non-refundable. Unused services are not refundable. Completely unused tour vouchers, due to cancellation, are subject to the applicable cancellation fees. Refunds must be requested within 60 days following cancellation of the Alaska Airlines Vacations package. Allow six to eight weeks for refund processing.

No Show

Failure to use any service will be subject to a 100% cancellation fee and cancellation of down-line air space.

Rates

All rates are per person, based on double occupancy and are in U.S. dollars. All rates are subject to change without notice, including but not limited to increases in taxes, government-imposed fees, surcharges, or airfare and hotel prices. Alaska Airlines Vacations reserves the right to re-invoice your reservation should an error be made in computing your package price.

Hotels

Hotel rooms included in Alaska Airlines Vacation packages are on a standard room run-of-house basis (unless otherwise specified) with size and location at the hotel management's discretion. Special requests; i.e., bed types, location, rollaway, cribs, etc., are on request and subject to availability and are not guaranteed. Additional fees may apply to requests. Note: For bookings to British Columbia - an adult under British Columbia law is age 19. Therefore, no one under the age of 19 can check into a hotel room by themselves. For bookings in Reno and Las Vegas - a person must be at least 21 years of age to check into a room by themselves.

Alaska Airlines Vacations reserves the right to substitute hotels if necessary.

Some hotels charge an energy surcharge. This will be added to your bill upon check-out.

Check-In and Check-Out Times

Check-in time is normally 3:00 p.m. - 4:00 p.m. However, most hotels will be happy to check your luggage if you arrive earlier. Check-out time is normally 11:00 a.m.

Car Rentals

Car rental prices shown for Avis are for a 24-hour period for each day purchased. Each 24-hour period commences at the time the car is picked up. Weekly rates require a minimum rental, otherwise daily rates apply. Car rentals include unlimited mileage and drop off fees may apply to one-way rentals. Within Canada, unlimited mileage is not included for van or SUV rentals. If you have rented one of these vehicles for travel within Canada, you will receive 100 free kilometers per day. Each additional kilometer is 20 cents. Call Alaska Airlines Vacations for details.

An Avis honored credit card (or cash deposit on domestic packages) will be required at the time of rental for any charges not included in the prepaid voucher; e.g., fuel, tax, additional drivers, optional coverage's or infant seats. Infant seats are available at domestic locations only, on request only and not guaranteed. Avis does not accept debit cards. Renters must be 21 years of age and possess a valid driver's license. A surcharge may apply for renters under the age of 25. Additional drivers must be 25 years of age and an additional driver fee may apply. Advanced reservations are required and availability is limited.

Airport Transfers

Additional information regarding airport transfers will be included in your final tour documentation. Refer to your E-Travel Document for transfer information specific to your Vacation package.

Vacation Protection Plan (VPP)

We understand that unforeseen circumstances may force you to cancel or interrupt your vacation plans. As your vacation package includes cancellation penalties, we highly recommend you purchase the Vacation Protection Plan.

Part A: Pre-Departure Cancellation Penalty Waiver - For just $39.00 (USD) per person, you may cancel for any reason up until four hours prior to departure. The refund will be processed as a $100 (USD) per person travel credit and the balance refunded back to the original form of payment less the cost of the $39 (USD) Waiver. Travel credits may be applied toward payment of future Alaska Airlines Vacations packages only, with the exception of the State of Alaska. Alaska Airlines Vacations must be properly notified of the cancellation, as the VPP does not apply to "No Show" situations. A No Show is defined as a failure to notify Alaska Airlines Vacations of a cancellation prior to four hours before departure. Note, the VPP does not cover revision fees nor additional per person occupancy rates that may occur if the number of travelers changes.

Part B: Post-Departure Travel Insurance - This part of the policy applies to covered reasons only, and goes into effect when you depart on your trip and includes the following features:

Trip Interruption - Covers unused land or water travel arrangements, plus additional airfare expense to return home, if you interrupt your trip due to sickness, injury or death of you, a Traveling Companion, or Immediate Family Member or for Other Covered Events as defined. Trip Delay - Covers up to $100 (USD) per day (maximum of $500 (USD)) for accommodation and meal expense for a covered delay of 12 hours or more. Baggage Insurance - Covers up to $1,000 (USD) for loss, damage or theft of your baggage or personal effects. Baggage Delay - Covers up to $100 (USD) for purchase of additional clothing, etc. when your baggage is delayed 24 hours or more. Medical Expense Emergency Assistance - Covers up to $25,000 (USD) for physician; hospital; emergency dental treatment during your trip; and emergency transportation costs to home or an appropriate hospital including escort expense (both, if deemed necessary by the attending physician) required as a result of a covered sickness or injury which occurs while you are on your trip. 24-Hour Hotline Help - The Travel Protection Plan includes a 24-hour help hotline for medical and travel related problems. Accidental Death & Dismemberment - Covers up to $25,000 (USD) for a loss, which occurs from a covered injury during your trip. Conditions and Limitations: Certain exclusions and limitations apply and are detailed in the Description of Coverage. For example, coverage does not apply to: any sickness or condition of you, a Traveling Companion or an Immediate Family Member traveling with you that existed during the 60 days prior to the effective date of the coverage (this exclusion is waived if your premium is received with your initial deposit/payment for your trip and you are not disabled from travel at the time you pay your premium), suicide, normal pregnancy, war or any act of war, mental or nervous disorders. Other Covered Events, as defined, includes the following events or their con-sequences:

Post-Departure Trip Interruption due to a cancellation of arrangements by an airline resulting from bad weather (coverage up to $100 (USD) per day to a maximum of $500 (USD)); a documented traffic accident while en route to departure; jury duty; destruction of your residence by a natural disaster; or a documented theft of passports or visas. A Traveling Companion is defined as a person booked to share accommodations in the same room with you during your trip. Sickness or Injury must require care by a Physician and must commence while the Travel Protection Plan is in force for you. This plan does not cover a loss that results from an illness, disease, or other condition (of you, an Immediate Family Member, Traveling Companion or Business Partner), event or circumstance, which occurs at a time when this policy is not in force for you.

Documentation for International Travel

All persons crossing an international border are required by the country of entry to produce evidence of citizenship. As of January 23, 2007, passports are required for travel to/from Mexico or Canada.

Children's Advisory

Alaska Airlines no longer requires a letter of consent for minors traveling without both legal guardians, although it is recommended. Canadian and Mexico immigration reserves the right to detain or deny boarding without a letter of consent.
